TERMS AND CONDITIONS OF SERVICE

These Terms and Conditions (the “Terms”) govern the rental and use of camera kits, accessories, editing services, and related offerings (collectively, the “Service”) provided by Vlog Your Ltd, trading as Vlog Your or Vlog Your Wedding (the “Company,” “we,” “us,” or “our”), to you (the “Client,” “you,” or “your”). By completing checkout and placing an order through our website or any other agreed platform, you acknowledge that you have read, understood, and agree to be bound by these Terms.
1. DEFINITIONS
1.1 “Equipment”
All items included in the rental package(s), including but not limited to cameras, microphones, batteries, memory cards, cases, accessories, cables, and any other items provided by the Company for the Client’s Rental Period.
1.2 “Rental Period”
Begins once the Equipment has been delivered to the Client and ends when the Equipment is handed over to the shipping service for return or is otherwise received back by the Company.
1.3 “Accidental Damage”
Damage to the Equipment that occurs despite normal, careful use, such as an unintended drop or knock.
1.4 “Negligence or Misuse”
Any reckless, intentional, or inappropriate use of the Equipment beyond its normal or intended operation (e.g., submerging cameras without proper waterproof housing, using microphones in heavy rain without protection, or leaving Equipment unsecured).
2. AGREEMENT TO TERMS
2.1 Eligibility
By placing an order and/or completing checkout, you represent that you are at least 18 years of age and legally capable of entering into a binding contract.
2.2 Acceptance
You agree to abide by these Terms and any additional policies referenced herein (including our Privacy Policy). If you do not agree to these Terms, you must not proceed with the order and should not use the Equipment.
2.3 Right to Refuse Service
We reserve the right to refuse or cancel any order if, in our reasonable opinion, fulfilling such order would violate any applicable law or present an unacceptable risk to the Equipment or to our business operations.
3. BOOKING & PAYMENT
3.1 Booking Confirmation
- You agree to pay the total rental fee at the time of booking or according to the payment schedule specified by the Company.
- A booking confirmation will be sent to the email address you provide.
3.2 Payment Schedule & Late Payments
- Two-Installment Structure: The final invoice (or second installment) is due one month before the wedding date.
- Overdue Payments: If the payment is overdue by 14 days, your booking will be automatically cancelled. Any fees already paid are forfeited and retained by the Company.
3.3 Methods of Payment
We accept the payment methods displayed on our checkout page. Currently, no deposit is required unless explicitly stated otherwise in writing.
3.4 Price Changes
We reserve the right to alter pricing before your booking confirmation. Once confirmed, the agreed-upon price is binding.
3.5 Accurate Delivery & Contact Information
- You agree to provide complete and accurate delivery, billing, and contact details when placing your order.
- In the event your delivery address or contact details change, you must update us in writing as soon as possible.
- If you fail to provide valid or updated delivery/contact information and this results in a failure or delay of delivery, it will be deemed your responsibility and may void certain guarantees, including the Delivery Guarantee (see 4.2).
4. DELIVERY & RETURN
4.1 Delivery
- We deliver Equipment within mainland UK only (unless expressly agreed otherwise).
- The Equipment will typically arrive a few days before your event to allow time for setup and inspection.
- Someone should be present at the delivery address to receive the Equipment. Liability for the Equipment passes to the Client upon delivery confirmation.
4.2 Delivery Guarantee
- We guarantee that the Equipment will arrive before the wedding day at the delivery address provided at booking(or another address agreed upon in writing).
- Delivery Attempt: If a delivery is attempted but you are unavailable or fail to take possession, it is deemed delivered for the purposes of this guarantee.
- If the Equipment does not arrive prior to the start of your wedding day (and no delivery attempt was made), you will receive a 100% refund of all fees paid. No additional liability or compensation will be provided.
4.3 Return
- Return Deadline: The Client must post or hand over the Equipment to the agreed return courier within 2 days after the wedding (excluding Bank Holidays). We allow a courtesy day to accommodate minor delays.
- Late Returns: If the Equipment is not handed over by the end of the courtesy day, we will charge a late fee of £25 per day, up to a maximum of the full replacement cost of the kit (i.e., £1,200). To avoid these charges, you must notify us in advance if you anticipate a delay or wish to extend the rental.
- Liability Transfer: Once the Equipment is handed to the shipping provider for return (or collected by them), liability transfers back to the Company (subject to the shipping provider’s insurance).
4.4 Return Shipping Instructions
We may provide free return postage or collection as outlined on our website. You must follow the instructions given for safely packing and returning the Equipment.
5. USE OF EQUIPMENT
5.1 Supervision & Age Limits
- Equipment must be supervised by a person over the age of 16 at all times.
- Visibly intoxicated persons (due to alcohol, drugs, or any other intoxicating substance) are prohibited from using or operating the Equipment. We advise putting cameras away once guests become inebriated to minimize risks and avoid unwanted footage.
5.2 Prohibited Uses
You shall not:
- Sublet, rent, or otherwise transfer the Equipment to any third party without our prior written consent.
- Use the Equipment in illegal, dangerous, or abusive ways (e.g., submerging cameras without proper casing, exposing microphones to adverse weather without protection).
- Use the Equipment outdoors in bad weather (heavy rain, strong winds) unless properly protected (e.g., waterproof housings, covers).
- Allow the Equipment to come into contact with food or drink. Keep it in a safe, dry location during mealtimes or if beverages are served nearby.
5.3 Intended Use
The Equipment is intended for personal filming/photography of wedding-related or similar events, unless otherwise agreed. You agree to follow all written, video, or verbal instructions provided by the Company.
6. INSURANCE & SAFETY REQUIREMENTS
6.1 Compliance with Insurer Conditions
You agree to comply with the following, required by our insurer:
- Users of the Equipment must be over 16 and not intoxicated.
- No equipment shall be used outdoors in adverse weather conditions (particularly strong winds or rain) unless suitable protective covers are used.
- All electrical equipment must be turned off during re-fuelling of any generators (if applicable), and fuel containers must be suitably marked and kept in a safe location.
6.2 Anchoring Equipment
If any equipment provided requires anchoring (e.g., lighting rigs, stands), it must be securely anchored before use to prevent accidents.
6.3 Client’s Responsibility
You are fully responsible for any loss or damage to the Equipment during the Rental Period, unless otherwise stated in these Terms.
7. DAMAGE & LIABILITY POLICY
7.1 Wear & Tear
Minor cosmetic marks, scratches, or other superficial signs of normal usage that do not affect functionality are considered “wear and tear” and incur no charge.
7.2 Accidental Damage (Camera Bodies)
For accidental damage to a camera body (e.g., if it’s dropped), you may be charged up to £99 per camera or the actual repair cost, whichever is lower.
7.3 Accidental Damage (Accessories & Microphones)
Full replacement value may be charged for accidental damage to accessories or microphones (e.g., water-damaged microphone, cracked lens filter) if they become inoperable.
7.4 Negligence, Misuse, Loss, or Theft
- Lost or Stolen Items: You are liable for the full replacement cost of any Equipment (cameras, lenses, microphones, batteries, cables, etc.) lost or stolen during your Rental Period.
- Negligent or Intentional Misuse: Any damage caused by negligence or misuse will also incur full replacement or repair costs, at our discretion.
7.5 Invoicing for Damages
If we determine that damage or loss has occurred, we will provide an invoice detailing the costs. You agree to pay any damage-related invoices within 14 days of issuance.
7.6 Inspection & Communication
We inspect the Equipment upon return and will notify you of any issues within a reasonable time. You may contest findings, but our decision shall be final, acting reasonably.
8. EDITING SERVICES
8.1 DIY Editing
We may provide guides or materials to assist you in editing your own footage. These resources are offered “as is” without warranty of any particular result.
8.2 Professional Editing
- Turnaround Time: We aim to deliver your completed edit within 6 weeks of receiving all necessary footage and information from you.
- Revisions: Our standard editing service does not include any revision rounds unless otherwise agreed in writing.
8.3 Copyright in Footage & Edited Materials
- Your Raw Footage: You own the copyright to the original footage captured.
- Our Edited Deliverables: We retain the copyright to all edited videos or derivative works created by us. We grant you a personal, non-commercial use license to download, share, and display the edited videos. Any commercial use requires our written permission.
9. FOOTAGE & BACKUP
9.1 Cloud Backup
We may provide an automatic or cloud backup feature. While we endeavor to ensure reliable storage, unforeseen technical issues can occur; we do not guarantee uninterrupted or error-free backup service.
9.2 Storage Duration
We store your original or backup footage for up to 12 months. After this period, the footage may be deleted unless you have made written arrangements with us for extended storage.
10. LIMITATION OF LIABILITY
10.1 No Guarantee of Coverage
We are not responsible for missed shots, poor audio, or user errors resulting in incomplete coverage of your event.
10.2 Indirect Damages
To the maximum extent permitted by law, we are not liable for any indirect, consequential, incidental, or special damages (including but not limited to loss of data, emotional distress, lost profits, or missed opportunities) arising out of or related to these Terms or the Equipment rental.
10.3 Maximum Liability
In any event, our maximum liability to you shall be limited to the total fees paid by you for the Service.
11. CANCELLATIONS & REFUNDS
11.1 Cancellation by Client
- You may cancel and receive a full refund if cancellation is made at least 60 days prior to the start of the Rental Period (or the wedding date, whichever is earlier).
- If you cancel fewer than 60 days before the booking date, any fees paid are forfeited, and no additional fees will be due beyond what has already been paid.
11.2 Cancellation by the Company
We reserve the right to cancel your booking if unforeseen circumstances (including force majeure events) arise. In such cases, you will receive a full refund of any fees paid, and no further liability shall be assumed by us.
12. FORCE MAJEURE
Neither party shall be liable for failure to perform any obligation under these Terms due to events beyond their reasonable control, including but not limited to acts of God, war, civil commotion, or governmental actions. If such an event continues for more than 30 days, either party may terminate these Terms with immediate effect by providing written notice.
13. PRIVACY & DATA PROTECTION
We value your privacy. Please refer to our Privacy Policy for details on how we collect, use, and protect your personal information. By agreeing to these Terms, you also agree to the terms of our Privacy Policy.
14. DISPUTE RESOLUTION & GOVERNING LAW
14.1 Governing Law
These Terms shall be governed by and construed in accordance with the laws of England and Wales (or the jurisdiction in which the Company is registered).
14.2 Dispute Resolution
In the event of any dispute arising under these Terms, the parties shall first endeavor to resolve it amicably. If unresolved, either party may refer the matter to a court of competent jurisdiction in England and Wales.
15. CHANGES TO THESE TERMS
We reserve the right to modify these Terms at any time. Any changes will be effective upon posting to our website. If you have already booked and paid, you will be subject to the version of the Terms in effect at the time of your booking.
16. ENTIRE AGREEMENT
These Terms, together with any referenced policies (including but not limited to our Privacy Policy), constitute the entire agreement between you and the Company regarding the rental of Equipment, editing services, and related offerings. They supersede any prior or contemporaneous agreements, communications, or proposals, whether oral or written.
